Samples, negotiation and the first order

Samples are the real test, and the purchase order is the document that protects your rights. Learn to manage both calmly and clearly.

The sampling stages

1. Prototype: to check the general shape.
2. Fit sample: to check the measurements and comfort on the body.
3. Sales sample: in the final fabric and color, used for photography and showing.
4. Pre production sample: the final approval before the quantity starts.

Send your comments in writing, point by point, with photos, and refer back to the tech pack.

What is negotiated

• The minimum quantity, and the split between colors and sizes.
• Payment terms and dates.
• Lead time and the penalty for delay.
• The defects policy: who bears the cost and how it is compensated.

What a purchase order contains

Product name and code, quantities per size and color, price and currency, the attached specifications, payment terms, delivery date, inspection terms and the shipping address. Ask for written approval of all of it.
